Family responsibilities (per year)

Whom to call and what they do

President - Administration of the school, using the school's name in the community, to get a message to all families. The president is the Chief officer of the school and has general supervision and control of the affairs of the school, subject to the control of the Executive Board, and also calls and presides at all Membership and Executive Board Meetings. The President and Treasurer are the authorized signers of all documents and checks for the school. Has power over the Board in times of emergency, until such time as a special or regular meeting of the membership may be called. President may also fill vacancies on the Board, with their approval, until an election can be held. Serves on the nomination committee for the following term. Is considered ex-officio member of all functioning committees. Acts as liaison between Staff, Board and membership, accept any constructive suggestions and expressions of dissatisfaction for referral to the Board. Contacts School Principal or facility administrator concerning use of facilities. Keeps Membership informed of all rules, procedures and Executive Board decisions. And is responsible for the orientation of the new Board members. Attends all Executive Board meetings and informational workshops at Bates Technical College. Also holds a set of school keys.

Vice President - Check on standing committee assignments and any questions regarding committees. The Vice President plans work parties, oversees committees throughout the year, which includes organizing and supervising them. And also is familiar with all the President's duties, responsibilities, and can also attend council meetings and all informational workshops at Bates Technical College in absence of the President. Attends all Executive Board meetings.

Membership - If a friend wants to join, please refer to the membership chair The Membership chair is responsible for the program of initiating new members into the School, and for maintaining maximum enrollment provided by the Standing Rules. Receives inquiries and applications for membership. Meets and arranges for prospective members to visit the School. Instruct new members on School procedures, activities, obligations, etc. Determines with the Staff if applicants meet the qualifications for enrollment and notifies applicant of the date the child may begin school. Keeps an up-to-date current membership list, with names, addresses and phone numbers. Receives requests for leaves of absences and resignations, and notifies the proper Board Members of any change in Membership. Attend all Executive Board meetings and submits quarterly Bates Technical College tracking information to the Treasurer, and attends informational workshops for Membership Chairs at Bates Technical College. Also holds a set of school keys.

Secretary - Obtain any and all information on any past or current business of the school as noted in the minutes. The Secretary is responsible for giving notice of all meetings, both to Membership and Board with help of the phone committee. Takes minutes at all Board meetings. Establishes and maintains files of the School records, reports and communications. Performs all clerical tasks of the School not specifically delegated to others, such as answering all correspondence as directed from the Board and reports on it to the Parents at the Membership meetings. Has available The Standing Rules and Constitution and maintains an adequate number of copies for information and circulation. Records all changes to the Standing Rules and Constitution. Attends all Executive Board meetings and attends the Secretaries' workshop held by Bates Technical College.

>Treasurer - If tuition cannot be paid, have questions regarding tuition, and any financial info. Receives school funds and deposits them into a school account. The President and Treasurer are the Authorized cygnets of all documents and checks for the school. Disburses funds as approved by the Executive Board. Keeps accurate records to reflect the financial condition of the School and submits a financial statement each month to the Executive Boards. Handles all Federal and State taxes due quarterly and employees' withholding tax. Serves as Chairperson for the Budget Committee, comprised of her/himself, the President, Membership Chairperson and Bates Coordinator to present the annual budget. Collect registration fees, monthly tuition, and fines, if any, from each member. Maintains a register by name of all fees collected and sends receipts upon request. Maintains a complete set of books. Is responsible for securing adequate property and liability insurance. Secures an annual review of the books and at the end of the year. Attends all Executive Board meetings and attends information workshops for Treasurers at Bates Technical College.

Class Representatives - If you have questions regarding the work schedule or if there is anything you want to bring to the attention of the Board. The Class Rep prepares monthly classroom work and snack schedule, posts it on the bulletin board, and distributes it to appropriate parents. Also introduces new members who enter the class midyear and is responsible for their parent training prior to their first day of working in the classroom. Acts as a liaison between Staff, Board and Class Representatives. Telephones members of the class about special monthly meetings, events, communicable diseases, etc. Attends all Executive Board meetings and attends informational workshops for Class Reps at Bates Technical College. 2's, 3's and Pre-K each have their own Class Rep.

Publicity - If you know of any organization or meeting in the community whereby we should have a representative attend, ideas for a newspaper story about the school, or ideas for the Council bulletin. Coordinates all public relations for the school. Is responsible for the ongoing publicity on the special nature on the school, events, educational meetings, membership drives and fundraising activities. Keeps the School activities before the public through fliers, PTAs and articles, stories and advertising in the media and various publications. The President should approve each news release and copies should be posted on the bulletin board when published. Arranges for advertising posters and support from local merchants. Prepares and updates the School bulletin board. Assists the Parent Ed Chairperson in publicizing parent ed opportunities. Attends all Executive Board meetings and informational workshops at Bates Technical College.

Newsletter - Ideas and announcements to share with all parents, notice of meetings and classes pertaining to parenting, committee meetings, and thank-yous. The Newsletter person solicits and edits newsletter articles on a monthly basis, and distributes monthly newsletters. Attends all Executive Board meetings and informational workshops at Bates Technical College.

Health & Safety - If you child contacts a contagious disease, if your child has been exposed to a contagious disease, and to see if the child should be kept at home during the incubation period. The Health and Safety person prepares and provides information to the School on how to handle emergencies and organizes common safety procedures. Posts a secured list in the School of important telephone numbers for each child. Maintains first-aid and earthquake skits in a central location in the classroom. Collects and maintains a file of immunization forms and earthquake kits for each student and works with Bates nurse to ensure that all students are in compliance. Completes safety checklists. Reports to parents if children have been exposed to communicable diseases, so precautions may be taken. Attends all Executive Board meetings and informational workshops at Bates Technical College.

Parent Ed - Ideas relating to the Parent Education Program and to check on the status of your family parent educatio credits. Parent Ed arranges and maintains the School's parents education program within the basic policies established by the Board and Staff. Works closely with the Staff and Board in planning the parent education program. Then arranges for the speakers, films and exhibits.

Fundraising - Questions regarding donations to the school. The Fundraising Chairs oversee all fundraisers and determines member obligations to fundraising for the year.

Teacher - Questions about your child, other children in the school, the daily school program. Also holds a set of school keys.


Field Trips

Parents are responsible for driving their children to and from field trip locations. The teacher is not allowed to drive a vehicle with parents or children in it.

For liability reasons, siblings are not allowed on the field trips.


Inclement Weather Guide

If radio/TV reports announce that Tacoma School District kindergarten and preschool programs are canceled for the morning, there will be no co-op preschool. The Teacher and President will make a decision by 8:00 a.m. Please contact your Class Rep for information.

Note: It will be a Board decision to make up any missed days due to weather.


Healthy Snacks

Snack time for children is much more than a chance to refuel! It provides active children with necessary nutrients and a chance to try new foods. Snack time is also a time to be sociable with friends and practice using good manners.

As a cooperative parent you will take turns bringing snack, as Parent #1. When food is brought from home it must be stored at correct temperatures before consumed, if needed. Cold foods can be kept refrigerated on ice in a cooler, and hot foods will be cooked to the proper temperatures and served immediately. We have a kitchen in the school, but not always refrigerator space.

Snacks do not have to be a big production, nor are they intended to be a full meal. The list below contains just a few suggestions for snacks. Try combining items such as peanut butter with tortillas and slices of apple. When possible, look for low sodium, low saturated fats, and low sugar content.

Bread & Grains:

  • Toast
  • Pasta
  • Bread sticks
  • Unsweetened cereal
  • Tortillas
  • Muffins
  • Bagels

Protein & Dairy:

  • Yogurt
  • Cheese
  • Cottage cheese
  • Peanut butter (check your class for allergies)
  • Milk (regular, soy or chocolate)
  • Cream cheese
  • Eggs
  • Sour cream
Any Vegetables or Fruits

Avoid any foods that might be a choking hazard, like whole grapes, popcorn, celery and raw carrot. Also remember to check with your class rep for known food allergies in your class.


Resource Center

Members of North Tacoma Cooperative Preschool have free access to the Resource Center at Bates South Campus. This includes use of curriculum resources, over 300 die-cut presses, papercutters, make & take projects, laminating (for class use), early childhood library, book binding (for class use), make & take projects, and ECE videos. Please note that this space is for adults only.
